Procountor is a comprehensive financial management software that an entrepreneur can use alone or together with an accounting firm to manage the company's financial management functions. The Procountor software was released in 2001. Procountor is part of the Accountor Finago product family.

This project is an extension to the earlier elaborated Accountor portal projects and some of the researches were used in this project.

Empathize

Problem Statements:

  1. Dashboard: Users struggle to get a holistic view of financial data in one place, leading to inefficiencies in decision-making.

  2. Messaging: Existing communication tools lack integration with financial platforms, causing context switching.

  3. Document Exchange: Users find it difficult to securely exchange and manage financial documents with stakeholders.

How Might We Questions:

  1. How might we create a dashboard that provides actionable insights into financial data at a glance?

  2. How might we enable seamless communication between users within the portal?

  3. How might we facilitate secure and efficient document sharing and management?

Ideate Phase

Brainstormed Ideas:

  1. Dashboard:

    • Interactive visualizations for revenue, orders, and expenses.

    • Configurable widgets to prioritize relevant data.

  2. Messaging:

    • In-app messaging with contextual tagging (e.g., link to specific invoices or reports).

    • Notifications for important updates.

  3. Document Exchange:

    • Drag-and-drop uploads with version control.

    • Real-time editing and approvals.

Dashboard:

    • Automated categorization (e.g., invoices, contracts).

    • Role-based access control for document sharing.

Design System

User interview
I interviewed 10 users who are current users of the Accounting system. The interview was open-ended ended focused on

  • What are the requirements the use the system currently?

  • How they are using the system?

  • Devices they use

  • Shortfalls of the current system

  • What they desire out of the system (Wants and needs)

  • Information they need

  • sign-up process etc

Test

Usability study

The goals of the test are to assess the clarity of interfaces, the ease of completing critical workflows, and the responsiveness of the system in various scenarios, including error handling.

5. Test Phase

Test Scenarios:

  1. Can users customize the dashboard widgets to fit their priorities?

  2. Is the messaging system intuitive and effective for real-time communication?

  3. Can users easily upload, share, and manage documents securely?

User Feedback:

  • Dashboard: Users appreciated the customization but wanted more export options.

  • Messaging: Found the tagging feature useful but suggested auto-complete for tags.

  • Document Exchange: Praised the simplicity but recommended adding folder structures.

Final Deliverables:

  1. Interactive Prototype of the Procountor Portal with functional microservices.

  2. User Journey Map showcasing how users interact with the portal.

  3. Usability Test Report summarizing feedback and iteration outcomes.
